For many desk workers, the workday begins long before they actually sit down at their desk. It might start the evening before, replaying incomplete tasks, or first thing in the morning, mentally scrolling through the day's commitments. This pre-emptive engagement, while seemingly a form of preparedness, can exact a significant toll on mental resources.
This isn't merely anxiety about a particular deadline; it is a pervasive cognitive load, the brain actively modelling potential scenarios, problems, and required efforts for work that has not yet occurred. This constant internal simulation can be as draining as direct engagement with tasks, contributing to a feeling of being 'tired before starting'.
The Pre-Engagement Drain
Anticipatory stress is a well-documented phenomenon, extending beyond clinical anxiety to everyday occupational settings. Research suggests that merely anticipating a stressful event can trigger physiological responses akin to experiencing the event itself, including elevated heart rate and cortisol levels. When applied to work, this means the act of thinking about future tasks can deplete attentional resources, leaving less mental energy for when the actual work begins.
- Cognitive Overload: Imagining multiple complex tasks simultaneously can lead to a sense of being overwhelmed, even if only one task can be performed at a time. This mental juggling consumes working memory.
- Attentional Depletion: The brain's capacity for focused attention is finite. Constantly shifting attention to anticipated problems or tasks can exhaust this resource, making it harder to concentrate on present work.
- Emotional Labour: The act of mentally preparing for difficult conversations or challenging projects can involve significant emotional expenditure before any interaction takes place.
The mental simulation of work consumes attentional resources as surely as the work itself, often leaving us depleted before we even begin.
The Future Work Bias
Our brains are wired to predict and prepare. While beneficial for survival, in a knowledge-work context, this can lead to a 'future work bias'. Instead of fully engaging with the task at hand, a portion of cognitive capacity remains allocated to the queue of upcoming demands. A study published in Organisation Science on 'anticipatory cognitive load' in distributed teams highlighted how team members constantly consider the impact of their current work on others' future tasks, creating an invisible layer of cognitive burden.
This isn't about procrastination, but rather a form of hyper-vigilance towards the demands of a complex and interconnected work environment. The brain attempts to front-load processing, trying to solve problems or strategise outcomes before they are truly 'live', which can be particularly pronounced in environments with unclear priorities or high interdependency.
Mitigating the Load
While eliminating future thinking is neither possible nor desirable, managing its cognitive cost is important. Strategies often focus on externalising this internal processing, allowing the brain to release the perceived 'hold' on future items.
- 1Structured Planning: Dedicate specific, time-boxed slots for planning upcoming work. This allows the brain to engage with future tasks deliberately, rather than intermittently.
- 2Externalise Commitments: Use robust task management systems (digital or analogue). Writing down everything that needs doing allows the brain to offload the burden of remembering and anticipating.
- 3Time Blocking: Schedule specific blocks for different task types. This creates clear boundaries for mental engagement, reducing the tendency to 'float' between present and future concerns.
- 4Define Done: Clearly defining the completion criteria for current tasks can help prevent mental spillover into future work. Knowing when a task is truly finished allows for a clearer cognitive break.
By consciously structuring how and when we engage with future demands, it may be possible to reduce the anticipatory cognitive load and preserve mental energy for the work that actually requires attention.
